Privacy Policy
This policy explains how NTL events, LLC (a Delaware limited liability company, Delaware file number 10625376, with its place of business at 262 W Calton Rd, Laredo, TX 78041, USA) ("NTL Events", "we") handles personal data on ntl.events and on the event pages, registration forms, abstract submission forms and reviewer links that organizations run with our platform.
1. Who is responsible for your data
For event data, the organizer is in charge. When an organization (a "Customer") runs an event on NTL Events, it decides what to collect from attendees, authors and reviewers and what to do with it. The Customer is the controller of that data and NTL Events processes it on the Customer's behalf and under its instructions. If you registered for an event or submitted an abstract, the organizer's contact details appear on the event page and in your confirmation email, and you can address your requests to them.
For our own accounts and website, we are in charge. NTL Events is the controller of the data of people who create an account with us, visit ntl.events or contact us.
2. What we collect
- Account data: name, email address and, if you choose to sign in with Google, the identifier Google provides. We also keep the session that keeps you signed in.
- Organization data: legal name, tax identifiers, address and the contact details of the people who manage the account.
- Registration data: name, email and phone, plus any additional fields the organizer adds to its registration form.
- Abstracts and reviews: the title, text, authors and affiliations of a submission, and the scores and comments of reviewers. When a call is set as blind, author details are removed on our server before anything is sent to a reviewer.
- Tickets and check-in: the tickets issued and when each one was scanned at the door.
- Payment data: payments are processed by Stripe. We receive the status and amount of each payment; we never receive or store full card numbers.
- Messages: what you send us through the contact form or by email.
- Technical data: IP address, browser and device information, and server logs needed to run and secure the service.
3. How payments work
Ticket and registration payments are created as direct charges on the organizer's own Stripe account. The organizer is the merchant: the money goes from the buyer to the organizer through Stripe, and NTL Events does not receive or hold ticket funds. NTL Events only collects its own fees, as agreed with each Customer. Stripe processes card data under its own privacy policy.
4. Why we use it
- To provide the service: accounts, registration, payments, abstract review, check-in and reports.
- To send the emails the service needs: confirmations, tickets, sign-in links and changes to an event.
- To keep the platform secure, prevent fraud and fix problems.
- To answer you when you contact us.
- To meet legal, tax and accounting obligations.
We do not sell personal data, we do not rent it and we do not use it for advertising. ntl.events does not load advertising pixels, heatmaps or affiliate tracking.
5. Artificial intelligence
The NTL Events features described on this site (registration, payments, abstract submission and review, check-in and reporting) do not use generative AI, and no decision about an attendee, an author or a registration is made automatically by an AI system. If we add an AI-assisted feature, we will disclose it in this policy before it is available, it will be optional, and each Customer will be able to turn it off for its organization.
6. Service providers
We use these providers to run the service, under contracts that bind them to protect the data:
- Stripe, Inc. — payment processing.
- Neon, Inc. — database, hosted in the AWS us-east-1 region (United States).
- Vercel, Inc. — application hosting and delivery.
- Resend, Inc. — delivery of transactional email.
- Google LLC — only if you choose to sign in with Google.
7. How long we keep data, and how to take it with you
- Account data is kept while the account is active.
- Event data is kept for the duration of the Customer's contract. Organizers can export their attendee and abstract data as CSV files from their dashboard at any time, including at the end of a contract.
- After a contract ends, we delete the Customer's event data within 90 days of its written request, except for records we must keep by law, such as payment and tax records.
- You can ask us to delete your own account at any time by writing to privacy@ntl.events.
8. People in the European Union and the United Kingdom
If you are in the EU, the EEA or the UK, the GDPR or the UK GDPR applies to your data. We rely on these legal bases: performance of a contract (your account, your registration, your submission); legitimate interests (security, fraud prevention and service improvement); and legal obligations. Where an organizer runs an event, it determines the legal basis for the data it collects through its forms.
You have the right to access, correct, delete, restrict or port your data, and to object to its processing. You can also complain to your data protection authority. For event data, write to the organizer; for anything else, or if you cannot reach the organizer, write to privacy@ntl.events and we will help. We answer within 30 days.
Your data is processed in the United States. Transfers from the EU, the EEA or the UK rely on the Standard Contractual Clauses (and the UK Addendum) included in our providers' data processing terms.
9. Cookies
ntl.events uses only the cookies it needs to work: the one that keeps you signed in and the one that remembers your language. We measure page speed with Vercel Speed Insights, which does not use cookies.
10. Security
Data travels encrypted (HTTPS) and is stored encrypted at rest by our database provider. Access to production systems is limited to the people who need it to run the service.
11. Children
NTL Events is a service for organizations and is not directed at children under 16.
12. Changes
We will publish any change to this policy on this page with its effective date. If a change is material, we will tell Customers by email before it takes effect.
