Terms of Service
These terms govern the use of NTL Events, an event and conference management platform provided by NTL events, LLC (a Delaware limited liability company, Delaware file number 10625376, 262 W Calton Rd, Laredo, TX 78041, USA). If an organization signs an order form or contract with us, that document prevails over these terms where they differ.
1. The service
NTL Events is software. It lets organizations ("Customers") set up events, take registrations with their own forms, sell tickets, run calls for abstracts with blind review, check attendees in and export reports. NTL Events is not the organizer of any event, is not the seller of any ticket, and does not guarantee that an event will take place.
2. Accounts
- You must give accurate information and keep your sign-in credentials to yourself.
- A Customer is responsible for the people it invites to its account and for what they do with it. Reviewers invited through a private link can only see what the organizer assigns to them.
3. Payments
- Ticket and registration payments are processed by Stripe as direct charges on the Customer's own Stripe account. The Customer is the merchant and receives the funds from Stripe; NTL Events does not receive or hold ticket money.
- To accept payments, the Customer must connect a Stripe account and accept Stripe's terms. Stripe's processing fees are charged by Stripe.
- NTL Events' own fees are those set out in the Customer's order form or plan.
4. What organizers are responsible for
- The event itself: permits, safety, capacity, content and accuracy of everything published.
- A refund policy shown to buyers, and honoring it. Refund requests go to the organizer first; the organizer can issue refunds from its dashboard.
- The personal data collected through its forms: the organizer is the controller of that data, must have a lawful basis to collect it and must answer the requests of the people it belongs to.
- Complying with the tax and consumer laws that apply to its sales.
5. Attendees, authors and reviewers
- When you buy a ticket or register, your agreement is with the organizer. Its contact details are on the event page and in your confirmation.
- Authors keep the rights to their submissions and allow the organizer to use them for the purposes of the call (review, program, publication if the call says so).
- In a blind review, author details are removed on our server before a reviewer receives a submission. Reviewers must keep submissions and scores confidential.
6. Acceptable use
You may not use NTL Events to:
- run unlawful or fraudulent events, or sell tickets you are not entitled to sell;
- send spam or upload content you do not have the rights to;
- try to access data or accounts that are not yours, or disrupt the service.
We may suspend an account that breaks these rules, and we will tell the Customer why.
7. Customer data
- The Customer owns its event data. We use it only to provide the service.
- Organizers can export attendee and abstract data as CSV from their dashboard at any time.
- After the contract ends, we delete the Customer's event data within 90 days of its written request, except records we must keep by law. Details are in the Privacy Policy.
- The platform's event features do not use generative AI. Any future AI-assisted feature will be optional and can be turned off for the Customer's organization.
8. Our platform
NTL Events and its software belong to NTL events, LLC. Customers receive a right to use the platform for the term of their plan or contract; they do not acquire the software or its source code.
9. Availability and changes
We work to keep the service available and to fix problems quickly, but, unless an order form says otherwise, we do not promise uninterrupted availability. We may improve or change features; we will not remove a feature a Customer has paid for during its term without notice.
10. Liability
To the extent permitted by law, the service is provided "as is", and our total liability for any claim related to it is limited to the fees the Customer paid us in the twelve months before the claim. We are not liable for indirect or consequential damages, or for the conduct of an event, which is the organizer's responsibility.
11. Termination
A Customer may stop using the service at any time, subject to its order form. We may end or suspend the service for a material breach of these terms. On termination, the Customer can export its data as described in section 7.
12. Governing law
These terms are governed by the laws of the State of Delaware, USA, and disputes will be resolved in the courts located in Delaware, unless an order form says otherwise.
13. Changes to these terms
We will publish changes on this page with their effective date and notify Customers by email at least 30 days before a material change takes effect.
